Privacy Policy

QuickBooks / Shopify Integration

This Privacy Policy explains how H&D Data Solutions, LLC ("we," "us," or "our") collects, uses, stores, shares, and protects information when customers use HD Retail (the "Application"), including integrations with Intuit QuickBooks Online, Shopify, and other authorized third-party services.

1. Information We Collect

Depending on how the Application is configured and used, we may collect or process:

  • Business account and organization information.
  • User account information, such as name, business email address, role, and authentication information.
  • Shopify commerce and payment information needed to produce accounting summaries, including sales totals, returns, taxes, fees, payment methods, payout information, dates, and store/location information.
  • QuickBooks information needed to operate the integration, including company identifiers, chart-of-accounts information, account mappings, journal-entry information, transaction identifiers, and synchronization status.
  • OAuth access and refresh tokens required to maintain authorized connections to third-party services.
  • Application logs, error information, API request metadata, timestamps, and audit information needed for security, troubleshooting, and support.

The Application is designed to send summarized accounting information to QuickBooks and is not intended to require individual customer transaction detail in QuickBooks unless the Application is later configured to do so.

2. How We Use Information

We use information to:

  • Provide and operate the Application.
  • Connect authorized Shopify and QuickBooks accounts.
  • Calculate and display accounting summaries.
  • Create and synchronize authorized accounting entries with QuickBooks.
  • Maintain account mappings and integration settings.
  • Detect duplicate postings and maintain audit records.
  • Troubleshoot errors and provide customer support.
  • Protect the security and integrity of the Application.
  • Comply with applicable legal obligations.

3. QuickBooks and Intuit Data

When a customer connects QuickBooks Online, the Application accesses QuickBooks data only as authorized by the customer and as reasonably necessary to provide the integration.

QuickBooks credentials issued to our Application, including our client secret, are maintained by us and are not provided to customers or accountants. Customer-specific OAuth tokens are used to access only the QuickBooks company or companies authorized by the customer.

We do not sell QuickBooks data.

4. Shopify Data

The Application may receive Shopify data through APIs and webhooks, including sales, refunds, taxes, fees, payment information, and payout/deposit events. We use this information to create accounting summaries and trigger authorized QuickBooks synchronization workflows.

Where possible, the Application uses summarized financial information rather than sending transaction-level Shopify data to QuickBooks.

5. How We Share Information

We may share information only as reasonably necessary to operate the Application, including with:

  • Intuit/QuickBooks, when the customer directs the Application to create or update accounting information.
  • Shopify, as necessary to operate the authorized Shopify integration.
  • Infrastructure, hosting, security, logging, and other service providers that process information on our behalf.
  • Professional advisers or governmental authorities when required by law or reasonably necessary to protect legal rights.

We do not sell personal information or customer accounting data for advertising purposes.

6. Data Retention

We retain information for as long as reasonably necessary to provide the Application, maintain accounting synchronization and audit history, satisfy contractual obligations, resolve disputes, enforce agreements, and comply with applicable law.

OAuth credentials and other integration data may be deleted or invalidated when an integration is disconnected, subject to legitimate retention requirements for security, audit, or legal purposes.

7. Data Security

We use commercially reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, or disclosure.

No system can guarantee absolute security. Customers are responsible for protecting their own credentials, devices, user permissions, and connected third-party accounts.

8. Customer Control and Disconnection

Customers may disconnect the Application from QuickBooks or other supported integrations. Disconnecting an integration prevents future authorized access after the applicable credentials or tokens are revoked or expire.

Customers may contact us regarding access, correction, deletion, or other requests concerning information we maintain, subject to applicable law and legitimate business, accounting, security, and legal retention requirements.

9. Cookies and Application Analytics

If the Application or website uses cookies, session technologies, or analytics tools, those technologies may collect device, browser, usage, and session information needed for authentication, security, application functionality, and performance monitoring.

10. Children's Privacy

The Application is intended for business use and is not directed to children. We do not knowingly collect personal information from children through the Application.

11. International and State Privacy Rights

Depending on where users are located, applicable privacy laws may provide rights concerning access, correction, deletion, portability, or restriction of certain personal information. Requests may be submitted using the contact information below.

12. Third-Party Services

QuickBooks, Intuit, Shopify, and other third-party services maintain their own privacy policies and terms. Their handling of information is governed by their respective policies. We are not responsible for the privacy practices of third-party services outside our control.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will update the effective date and provide notice of material changes when required by applicable law.
